Introduction of location-specific Emergency Management Systems for highly critical areas (IT and finance)

Background

An international energy company commissioned the 3-core GmbH to develop and implement a practical emergency management system for office locations in Germany. The challenge was to establish independent, compliant and functional emergency concepts for the respective rented office space in multi-tenant buildings that were in line with internal specifications and requirements.

The aim was to increase organisational resilience and ensure that clear processes, roles and responsibilities are in place in the event of an incident. Both site-specific risks and Group guidelines had to be taken into account, including interfaces with authorities, building operators and central corporate functions.

Solution

The 3-core GmbH developed comprehensive emergency management manuals that were based on the Group’s specifications and customised to the specific local conditions. The foundation was the methodical evaluation of potential emergency scenarios – from IT failures and supply interruptions to natural disasters or other security-related incidents.

Emergency teams with clearly defined roles were established, including deputising arrangements, communication structures and escalation options. In addition to describing responsibilities, action plans, reporting channels and contact lists were created. A special focus was placed on interface coordination with the respective site operators, authorities and the central crisis organisation.

The manuals also regulate the use of equipment, communication technology, emergency precautions and regular training, tests and exercises. All processes have been designed in such a way that the sites can react quickly, effectively and in a compliant manner if necessary. The manuals were optimised in close cooperation with our customer and then presented to the stakeholders.
